The Canadian Accreditation Council (\u201cCAC<\/strong>\u201d) is committed to protecting the privacy and confidentiality of personal information of our personnel, volunteers, and clients. We manage personal information in accordance with all applicable provincial and federal legislation, including Alberta\u2019s Personal Information Protection Act<\/em> (PIPA) and, if applicable, Canada\u2019s Personal Information and Electronic Documents Act<\/em>, PSC 2000, c 5. We collect personal information necessary to deliver our services, including:<\/p>\n

1. Information about client organizations and their representatives, which can include but is not necessarily limited to names, roles and contact information; information contained in Applications and Agreements and related accreditation records; accreditation status and program designations; timelines and review scheduling details; and correspondence and submissions in support of accreditation.\u00a0<\/p>\n

Client organization files maintained on our secure server may include but are not necessarily limited to signed Application(s) and Agreement(s); Annual Declarations of Compliance to Standards and Plans for Compliance; financial records, including invoices and records of payment; Timeline Workplans; correspondence of archival importance; organization records provided in support of an Application or Appeal; Pre-Site notes, documents and correspondence; On Site notes, documents, and correspondence; Organization Response; letters from the Accreditation Panel; Follow-Up Survey notes, documents, and correspondence; signed certificates; Appeal Committee documents; and browsing data relating to use of our website.<\/p>\n

2. Information about employees, personnel, and volunteers, which can include but is not necessarily limited to names, address, contact information, availability, roles, illness and disability information, payroll documents, discipline records, employment references, and correspondence.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

Information collected from client organizations that is identified in the Application and Agreement documents, such as information related to the client organization and program(s) it delivers, accredited programs, program designation, and ongoing accreditation status, and any other information requiring disclosure for the purposes identified below or that a client organization specifically authorizes for disclosure.<\/p>\n

1. To administer the accreditation process for client organizations.
2. To maintain public information about accreditation outcomes where appropriate.
3. To establish, manage, or terminate the employment or engagement of our employees, personnel, and volunteers.
4. To meet legal, regulatory, audit, and quality assurance requirements. Information may be accessed by authorized external individuals during financial audits and to assess quality and adherence to standards.
5. To meet legal obligations where disclosure to appropriate authorities is required by law, including pursuant to a subpoena.
6. To protect the safety or security of persons served by a client organization or to address suspected fraud or criminal activity where CAC believes there to be a risk, in which case disclosure may be made to appropriate authorities.
7. To operate our organization, including but not necessarily limited to requirements related to information technology, accounting, financial reporting, security, strategic planning, funding, statistics and outcome tracking, payment processing, collections, business transactions, key decision-making, and website development and management.
8. Any other purpose recognized as reasonable or necessary for the collection, use, or disclosure by PIPA or other applicable legislation.

CAC employees, personnel, volunteers, and client organizations may request access to and, if applicable, correction of their information. Requests by client organizations \u00a0<\/p>\n

Sensitive information is maintained in locked filing cabinets as well as protected electronically, accessible only to designated CAC personnel.     CAC uses NewOrg Management System to securely collect and manage personal information submitted through application and volunteer forms on this website (the \u201cManagement System\u201d).\u00a0<\/p>\n

    All information processed through the Management System is stored in a dedicated encrypted database hosted at Simnet.ca, Toronto, Ontario, Canada, in compliance with the Personal Information Protection Act (PIPA) of Alberta and the Personal Information Protection and Electronic Documents Act (PIPEDA). NewOrgManagement System acts as a data processor on behalf of CAC and does not use submitted information for any purpose other than supporting CAC\u2019s service delivery. Data processed through the Management System is not sold, shared with third parties, or used to train AI or machine learning systems. Such data is protected by 256-bit encryption in transit and at rest, access-controlled to authorized personnel only, and subject to full audit logging.<\/p>\n


    CAC uses Google Analytics to gather statistics on portions of this website and will use the information gathered to improve digital services for users. Google Analytics employs cookies to define user sessions, which allow for the collection of important data about how users are interacting with this website. Google Analytics uses only first-party cookies for data analysis. This means that the cookies are linked to the CAC domain, and CAC will only use the collected data and cookies for aggregate, non-individual statistical analysis related to your browsing behaviour.\u00a0<\/p>\n
